AI Is Already in Your Business. Now What?

A Practical Guide for NZ Businesses 

The robots are here! ……Well, sort of.  

AI is everywhere. And it has moved quickly in the last few years from something businesses were talking about to something they’re actively using.  

By now, most people are using AI daily(for good and bad), which means your team may already be using AI to do some of their workload.  
 
And with tools like Microsoft Copilot becoming part of the software businesses already use, AI is only going to become more embedded into everyone’s 9 to 5.  

The question for businesses is no longer simply “Should we use AI?”  It’s “How do we use it well?” 

Luckily, you don't need to change your entire business model, you just need to get a few important foundations right.

Let’s get into it.  

1. Start with the problem, not the AI 

It’s easy to get caught up in what AI can do. A better question is: what would actually make your business better? 

  • Where is your team losing valuable time?  

  • What repetitive work could be reduced and/or automated?  

  • Where are people spending hours searching for information, preparing reports, taking notes, or dealing with admin?  

Start there.  

The best AI setup isn't the one that makes everyone go full Owen Wilson:  

It's the one that makes someone say, 'Thank goodness I don’t have to do that anymore’.  

2. Make sure your technology can keep up 

AI might be the shiny new thing, but it still relies on the technology underneath it. 

Reliable connectivity, secure systems, sensible access controls and proactive monitoring become even more important as businesses introduce more cloud services and AI-powered tools. 

A properly managed network gives you visibility over what's happening across your environment and helps ensure your technology is secure, reliable and ready for what you're asking it to do. 

Because adding clever technology on top of an unreliable IT environment rarely makes the underlying problems disappear. In fact, it might make it worse.  

3. Use AI where your team already works

The good news is you don't necessarily need to give your team yet another platform, another login and another thing to learn.  

For businesses already using Microsoft 365, Microsoft Copilot brings AI into tools your team already knows, including Outlook, Teams, Word, Excel and PowerPoint. 

It can summarise that email chain nobody wants to read, pull actions out of a meeting, help get a first draft on the page, analyse information and find what you need without the usual digital treasure hunt. 

The key is figuring out where it will genuinely save your team time. Not switching on AI everywhere simply because everyone else is talking about it. 

Useful beats flashy every time. 

4. Know what your people are using 

Even if your organisation hasn’t officially adopted AI yet, some of your team may already be experimenting with it.  

That means it's worth you asking:  

  • Which AI tools are employees using?  

  • What business or customer information are they putting into them?  

  • Which tools are approved?  

  • Who checks AI-generated information before it's used?  

  • Do employees understand what information shouldn't be shared?  

That's where AI governance comes in. Good governance isn't about stopping people from using AI. It's about giving them clear boundaries so they can use it confidently and safely. 

5. Start small. Learn. Then build. 

You don't need a 40-page AI strategy that nobody's going to read anyway. 

Choose one or two areas where AI could make a meaningful difference. Give your people the right tools and guidance. Measure whether it's actually saving time or improving the way you work. 

And you build naturally from there.  

AI will continue to change quickly. Businesses don't need to chase every new shiny tool that hits the market, but they do need a solid technology foundation and a sensible approach to adopting the ones that matter.
